Getting maximum benefit from using S4B

Because we want you to get the maximum benefit from using Safety4bodyshops, each month we will choose just one of the many S4B features and explain how to get the most benefit from it.  

In this newsletter we are reviewing your H & S Policy & other Company Policies.  We will also keep you updated on any new features made available to you in S4B.

Health & Safety Policy:
The most important Policy for any company is its Health & Safety Policy.  It forms the basis of how you will manage health & safety within your company. Your H & S Policy was created by the S4B system when you completed the Set-up Wizard when you first registered to use Safety4bodyshops.

Your H & S policy contains information about the responsibilities of management & employees and the arrangements for putting the policy in to place in your workplace.

H & S Policy Statement  (page 2 of the Policy)

A Policy statement is simply a 'statement of intent' of your commitment to promoting a safe & healthy working environment for your employees and any other person who could be affected by your business activity. It also states the responsibilities of employees to co-operate with Management and to follow company rules & regulations. It can be printed separately by selecting to print page 2 of the Policy document.
Upload your Company Logo
You can now upload your Company logo that will be displayed on the H & S Policy front cover & Policy Statement. it will also be displayed on the Policy information for Employees document & your Enviromental Policy.

Signing the H & S Policy
The Policy can now be 'signed' by the most senior person in the company i.e.; MD or Owner etc. The signature will be displayed on the H & S Policy Statement. (See details below)
A signed copy of the Policy Statement should be displayed in the Reception and on company Notice boards. We also recommend that a copy of the H & S Policy is printed & made available for employees to read. (perhaps leave a copy in the staff room)
Updating & Reviewing your H & S Policy
You should update your policy if any changes are made regards names of management or responsibilities such as names of first-aiders or fire marshals etc.

You should review your H & policy at least once every year to ensure it is up to date & ensure that any changes in the responsible persons or in the arrangements for H & S have been amended as necessary.

Example 1;  if the existing first-aid person or one of the appointed fire-marshals etc leaves your employment & you appoint someone else, you will need to update the policy so that it shows the correct information.
 
Example 2;  If a manager or other senior person in the Company leaves and is replaced by someone else, you must update the policy.
  
To update or review your Health & safety Policy; 
  • click on the 'My Bodyshop' tab (this takes you to the Summary page)
  • click on the section of the policy that you wish to amend and change the details ie; name of First-aider or fire marshal etc; and their area of responsibility
  • click 'Save & close' (this will update the revision number)
"Your policy has now been reviewed & updated" (adding new personnel names does not affect the policy revision number)

New Record-Keeping feature available for 2015

New Feature for 2015:
Record-Keeping system now available 'Online' (no extra costs incurred)

If you are still doing you record-keeping on paper - then you need to take a look at S4B's new 'online record-keeping' system.

Creating & completing online record keeping is so easy using the built-in record-keeping templates. Once created, all records can be edited, signed or viewed at any time.

Completed records are stored on our secure server and are always available. Our server is backed up so you will never lose your records. (can be used as part of your 'Emergency Contingency Plan' in the event of fire or flood etc)
